The software giant responsible for some of the most innovative technology in event management hosted its annual European conference, Cvent CONNECT, at Hilton London Metropole this year, and Encore was on hand to pull out all the stops. The three-day conference was jam-packed with insightful panel discussions, the latest technological innovations and a host of fascinating demonstrations from exhibitors.

THE IDEA

Main stage. Breakout rooms. Exhibition spaces. Award ceremonies. In-person talks. Virtual audiences. Cvent CONNECT was an amalgamation of all this and more, and the client was clear in their desire for an innovative, interactive hybrid event that would captivate both in-person and remote attendees.

 
The vision included a show-stopping plenary space featuring creative stage design and cutting-edge visuals, functional yet stylish setups for executive meetings, breakout rooms, and a bustling expo area. They sought seamless integration of in-person and online elements, ensuring a unified experience across all event spaces. There was no shortage of challenges to overcome throughout this event, including navigating the expansive and multi-levelled layout of the vast Hilton London Metropole, managing multiple live event spaces at once, and engaging various types of guests with different motivations for attending the conference. With Encore’s technical expertise and collaborative approach, we worked together with the Cvent and Hilton teams to ensure these obstacles were expertly handled, and their ideas came to life flawlessly.

THE REALITY


Encore brought this ambitious vision to life through precise planning, creative design, and advanced technical production. The plenary space became the heart of the event, featuring two 4m-wide LED screens flanking a central stage with a walk-up entrance for presenters, including special guest Dermot O’Leary. Above the audience, an asymmetrical LED sphere installation added a captivating, immersive lighting effect.


Smaller spaces, such as the GMT Suite, were transformed with twin-screen setups and a printed scenography backdrop for high-level executive meetings. Breakout rooms were equipped with an innovative software solution that displayed full-screen notes on comfort monitors, simplifying the experience for speakers. A dedicated streaming stage was also created, allowing panel discussions to be shared with remote audiences in real time.


The expo area was equally well-equipped, with background music, band playout systems and power drops installed at every exhibitor booth. Meeting rooms featured powered tables to accommodate classroom-style demo setups, ensuring a seamless experience for all participants.


Encore’s technical setup integrated seamlessly with Cvent’s online event platform, enabling synchronised show flows for in-person and remote audiences. A double show caller system ensured that both audience groups experienced a consistent and engaging event. Despite the challenges of managing multiple live spaces across the venue, Encore’s split operational teams, dedicated East and West project managers, and efficient equipment transport strategies ensured the event ran smoothly
